Summary ## Jotform + Square Payment Workflow Automation Expert Needed We are a pet aftercare and cremation business looking for an experienced **Jotform + Square integration and automation specialist** to streamline our existing customer authorization and payment process. We already have an established Jotform Authorization Form and use Square for customer payments. We would prefer to improve our existing system rather than rebuild everything from scratch. ### What We Want to Accomplish Our desired workflow is: 1. A customer calls our business, and a staff member provides a **custom quoted price**. Our pricing can vary, so the base price cannot simply be determined from a fixed pricing table. 2. Our staff enters a few pieces of information into a simple internal Jotform or similar interface: * Customer first and last name * Email address * Phone number * Pet name * Quoted base price * Appointment date/time 3. Staff clicks **Submit/Send**. 4. The customer automatically receives a professionally formatted and compassionate email containing their quoted price, appointment information, and a **personalized link to our existing Jotform Authorization Form**. 5. When the customer opens the Authorization Form, their **quoted base price should already be securely prefilled and should not be editable by the customer**. 6. The customer completes the Authorization Form and can select additional paid products/services, such as keepsakes and transportation. 7. The system automatically calculates: **Quoted Base Price + Customer-Selected Extras = Final Amount Due** 8. The customer then securely pays the final amount through **Square as part of the Jotform workflow**. 9. Our staff receives the completed authorization and confirmation of successful payment. ### The Goal We want the process to be this simple: **STAFF:** Phone call → Enter customer information and quote → Click Send → DONE **CUSTOMER:** Receive one email → Click one link → Complete authorization → Select extras → Sign → Pay → DONE We specifically want to eliminate our current process of manually taking information from the completed Jotform, entering the customer into Square, creating a separate Square payment request, and then sending that payment request to the customer. ### Existing Setup We currently use: * Jotform for customer authorization, signatures, service selections, keepsakes, transportation options, etc. * Square for payment processing. * An existing Jotform that we would prefer to modify rather than completely replace. We would like the selected freelancer to first review our existing setup and determine the **simplest and most reliable solution**. We prefer to use Jotform's native functionality and Square integration wherever possible. However, we are open to Zapier, Make, Jotform API, Square API, or another lightweight automation solution if needed. ### What We Need From You Please include the following in your proposal: * Your specific experience with **Jotform and Square integrations** * Whether you believe this workflow can primarily be accomplished within Jotform * Examples of similar form/payment automations you have built * How you would approach securely passing our unique quoted price into the customer's Authorization Form * Any limitations or issues you anticipate * Your estimated timeframe * Your estimated fixed-price cost ### Project Deliverable We are not looking simply for consulting or instructions. We want a **fully functioning, tested, end-to-end workflow** that our staff can begin using. The finished system should allow our staff to enter the customer's information and quoted price once, click Send, and have the customer complete the remaining authorization and payment process without our staff having to manually create a separate Square payment request. **Fixed-price proposals are preferred.**
