Summary No-Code AI Automation Architect UK Healthcare Clinic — Multi-Location Chiropractic Practice The Project Looking to automate our patient reception across WhatsApp, with future expansion to email and phone. We need a reliable WhatsApp assistant that handles common requests accurately, integrates with our Cliniko practice management system, and hands over to a human when it should. We already have a detailed technical blueprint and know exactly what we want built. We're looking for someone to execute it professionally. What You'll Build A centralised WhatsApp automation (Option B architecture) with: * Intent classification via OpenAI for patient messages * Dynamic clinic routing — detects which clinic the patient is messaging based on phone number, serves correct prices, hours, and availability * Cliniko API integration — check availability, cancel appointments, surface booking slots (human confirms final booking in Phase 1) * Approved answer library — prices, services, locations, hours pulled from a configuration table, never hardcoded * Human handover system — clean escalation with full context to clinic owner * Conversation logging — all interactions tracked in Google Sheets or Airtable * Guardrails — clinical questions, complaints, and uncertain intents always route to human Tech stack: Make.com, WhatsApp Business API (direct Meta), OpenAI GPT-4o mini, Cliniko API, Google Sheets/Airtable. What We Require From You Must have: * Proven experience building production Make.com automations with external APIs * Experience with WhatsApp Business API (direct Meta integration, not just third-party tools) * Understanding of REST APIs and webhook handling * Track record of building systems with human handover and error handling * Ability to deliver documented, maintainable work that we own Strongly preferred: * Experience with Cliniko or similar practice management software * Healthcare or regulated industry experience (understanding of GDPR, patient confidentiality, escalation protocols) * Experience with conversation design and AI safety guardrails * Multi-location or multi-tenant automation architecture Not looking for: * Website designers or general IT technicians * Chatbot prompt writers who don't build systems * Developers who want to custom-code everything from scratch * Anyone who wants to retain ownership of accounts, API keys, or documentation How We'll Work Together Phase 1: Discovery & Blueprint Review (No Payment) * Review our existing blueprint * Validate technical approach and identify risks * Confirm exact scope, timeline, and delivery milestones * Deliver: validated architecture document, revised timeline, milestone plan We provide the blueprint. Phase 2: Build (Payment on Final Delivery Only) * Milestone 1: Foundation — Meta API, Make.com setup, webhook, intent classifier * Milestone 2: Informational handlers — prices, services, locations, hours * Milestone 3: Cliniko integration — availability, cancellations, booking enquiries * Milestone 4: Handover system, logging, testing, documentation Payment released only upon full delivery and acceptance of all deliverables listed below.
