Summary Project: WhatsApp RSVP & QR Event Check-in System I am looking for a developer to build a simple and cost-effective WhatsApp-based invitation and event check-in system for approximately 400 guests. Required Workflow 1. Guest List * I will provide an Excel/CSV file containing: * Guest name * Mobile/WhatsApp number * Number of allowed guests * The system should import and manage this guest list. 2. WhatsApp Invitation * Send a personalized invitation to each guest through the official WhatsApp Business / Meta Cloud API. * The invitation should include the guest’s name and interactive WhatsApp buttons: * Accept / Confirm Attendance * Decline * The guest should be able to respond directly inside WhatsApp without opening an external RSVP website. 3. RSVP Tracking * The system should automatically record: * Confirmed * Declined * No response * I need a simple dashboard or spreadsheet where I can see the RSVP status of all guests. 4. Unique QR Code When a guest confirms attendance: * Automatically generate a unique QR code for that guest. * Send the QR code to the guest through WhatsApp. * The QR should be linked to the guest’s record and allowed number of attendees. 5. Event Check-in At the event entrance, staff should be able to scan the QR code using a smartphone or tablet. After scanning, the screen should show: * Guest name * Number of allowed attendees * Invitation status Example: VALID Guest: Mohammed Ahmed Allowed Guests: 3 Staff can then confirm check-in. 6. One-Time QR Code This is very important. After the guest is checked in, the QR code must be marked as USED. If someone scans the same QR code again, the system must clearly show: ALREADY USED It should also show the original check-in time if possible. This is required to prevent guests from sharing screenshots of their QR codes with other people. 7. Admin Dashboard I need a simple dashboard showing: * Total invited * Confirmed * Declined * No response * Checked in * Not yet checked in I should also be able to search for a guest by name or phone number. Technical Requirements * Use the official WhatsApp Business Platform / Meta Cloud API. * Do not use unofficial WhatsApp automation that could result in the WhatsApp number being blocked. * Keep third-party monthly subscription costs as low as possible. * The system is primarily for approximately 400 guests. * Simple and easy-to-use solution. * Mobile-friendly check-in interface. * Arabic text must be supported for guest names and WhatsApp messages. * I am not a developer, so the final system must be easy for me to operate. Ownership & Handover The WhatsApp Business account, Meta account, database, hosting, source code, and other services should be under my ownership/account whenever possible. The developer should provide: * Complete setup * Source code * Deployment * Basic instructions on how to use the system * Instructions for importing future guest lists * Instructions for scanning/checking in guests * All credentials/configuration should be handed over at completion Please do not build a solution that requires an expensive event platform subscription. Please Include in Your Proposal 1. Your fixed price for the complete project. 2. Estimated delivery time. 3. Technology/platform you recommend. 4. Any monthly or recurring costs. 5. Estimated WhatsApp/Meta messaging costs for approximately 400 guests. 6. Whether you have previously worked with WhatsApp Cloud API, interactive buttons, webhooks, and QR check-in systems. 7. Examples/screenshots of similar projects if available. Preference: A simple, reliable, low-cost solution rather than a complex enterprise system.
