Summary We’re seeking a developer to build and maintain integrations across Opera Cloud, Breezeway, WhatsApp, and Owner Relations. This project includes a phase-based build with ongoing maintenance after launch. Phase 1 should be live before Labor Day, and Phase 2 before November 1. The ideal freelancer can create reliable workflows, troubleshoot issues, and support long-term system stability. Experience with automation and integration projects is important, along with the ability to work independently and communicate progress clearly. Role: Automation / Integration Developer (VA) Platform: Opera Cloud, Breezeway, WhatsApp, Owner Relations Engagement type: Project-based build, with ongoing maintenance retainer after launch Target timeline: Phase 1 live before Labor Day; Phase 2 live before November 1 Why We're Requesting This: Hawk's Cay Resort currently runs housekeeping, guest communication, and villa owner management across three disconnected systems: Opera Cloud, Breezeway, and WhatsApp. None of them sync in real time, so staff bridge the gaps by hand. This shows up in a few concrete ways: room attendant boards are built manually each morning using an equal-checkout rule that ignores zones and travel time; guest requests in Breezeway have no escalation path when they go unresolved; a real language barrier (many housekeeping staff are not fluent readers of English or Creole) limits how well text-based tickets work; and villa owners see availability calendars that lag reservations by a day or more, which has already caused at least one booking conflict for an owner. This information comes directly from a discovery call held with the property's operations, front desk, and villa owner relations teams. Rather than replacing any of their existing systems, the goal is to build an automation layer that connects Opera Cloud, Breezeway, and WhatsApp, removing the manual steps between them. Desired Outcome: We're looking for a developer who can quote and build this work in two phases (detailed below), so the property can adopt the system step by step rather than all at once. The end result should be: housekeeping boards that build themselves by zone, room status that updates automatically from WhatsApp into Opera, guest requests that escalate on their own, and a villa owner onboarding and availability process that no longer depends on one person manually coordinating six or more separate systems. This quote is the basis for selecting a developer and setting a fixed project cost and timeline for each phase. Overview: Hawk's Cay Resort needs an automation layer connecting Opera Cloud, Breezeway, and WhatsApp to remove manual work in housekeeping, guest communication, and villa owner management. We are requesting quotes to build this in two phases, described below. Please quote each phase separately, plus a monthly maintenance rate for after launch. Phase 1: Housekeeping & Front Desk Target: live before Labor Day. Scope covers day-to-day housekeeping operations and front desk / guest request handling. 1. Automated room attendant boards Pull daily departures and stayovers from Opera Cloud and generate boards by zone/section instead of equal-checkout-count, using target clean times (approx. 32 min departure, 15 min stayover). 2. WhatsApp-to-Opera status sync Read housekeeping room-status updates from the property's existing WhatsApp group chat and reflect them in Opera Cloud automatically. 3. Guest request escalation Add escalation rules in Breezeway: an unresolved guest request auto-escalates to a named staff member, then their manager, after a set time window. 4. Duplicate ticket filtering Detect and merge multiple Breezeway tickets reporting the same issue so engineering isn't dispatched twice. 5. Spoken ticket delivery Enable tickets to be read aloud to staff, addressing cases where staff cannot read fluently in English or Creole. Phase 2: Villa Operations & Owner Relations: Target: live before November 1 (ahead of the property's fiscal year boundary). Scope covers villa owner onboarding and the owner-facing side of the business, across 178+ villas. 6. Streamlined owner onboarding Coordinate the steps currently done by hand across systems: Opera room/room-type build, Opera member account setup, Breezeway property and vendor setup, Owner Relations contract/profile/portal, tourism tax and county registration. 7. Live availability sync Close the gap between reservations and villa assignment (currently assigned only a day or so out) so owners see accurate availability instead of a stale or empty calendar. 8. Unified occupancy view Replace the current red/yellow/green toggle calendar with a single, clear occupancy view for owners. 9. Payment record consolidation Reduce reliance on the manual ACH spreadsheet by connecting owner payment records to Owner Relations.
