Summary AI AUTOMATION SPECIALIST — UK ESTATE AGENCY LEAD CONVERSION SYSTEMS ABOUT THE OPPORTUNITY We are looking for an experienced AI Automation Specialist to work with us as a project-based delivery partner for automation systems provided to independent UK estate and letting agencies. This is not a salaried or guaranteed-hours position. Projects will be assigned per client as they are secured, with the potential for repeat work and ongoing support. TYPICAL CLIENT AUTOMATION A standard implementation may include: * Capturing incoming enquiries from website forms and/or email * Sending immediate personalised responses * Classifying enquiries such as viewing, valuation, sales or lettings * Qualifying leads using predefined questions and logic * Creating concise lead summaries for agency staff * Routing qualified leads towards viewing or valuation bookings * Automated follow-up sequences for up to 7 days * Logging activity and lead status into Google Sheets, Airtable or a client CRM * Connecting systems through APIs and webhooks * Basic reporting and monitoring * Testing, documentation and handover Typical tools may include n8n, Make.com, Zapier, OpenAI API, CRMs, Airtable, Google Sheets, email platforms, APIs and webhooks. COMMERCIAL ARRANGEMENT * Approximately $500 fixed fee per standard client implementation * Paid per completed client/project * Ongoing maintenance and support may be offered separately and priced according to the agreed scope * Additional integrations or custom work agreed and priced separately * No guaranteed minimum number of projects or monthly hours * Successful delivery may lead to repeat client implementations REQUIRED EXPERIENCE Applicants should have demonstrable experience building reliable business automation systems involving several of the following: * Lead management and qualification * Marketing or sales automation * CRM integration * Automated follow-up * Appointment or booking workflows * Email automation * AI-powered classification or summarisation * API/webhook integrations * Workflow monitoring and error handling Experience with estate agencies, letting agencies, property businesses or other high-enquiry service businesses is strongly preferred. CASE STUDIES — IMPORTANT Please apply only if you are ready to provide relevant case studies or examples of previous work. We are particularly interested in projects where you can demonstrate quantifiable business outcomes, for example: * Revenue generated or increased * Money saved for the client * Administrative or staff hours saved per week/month * Additional appointments, viewings or consultations booked * Improvement in enquiry-to-appointment conversion * Reduction in lead response time * Number or percentage of previously missed leads recovered * Staff costs avoided or reduced * Operational costs reduced * Increase in follow-up coverage * Other clearly measurable financial or operational results Where possible, please provide before → after results rather than general statements such as “improved efficiency.” For example: * Reduced lead response time from X minutes/hours to Y * Saved approximately X staff hours per month * Reduced administrative costs by approximately £/$X * Increased booked appointments from X to Y * Generated or influenced approximately £/$X in additional revenue DEMO / WORKING PROOF Preference will be given to applicants who can demonstrate systems they have actually built. Where permitted, please provide at least one of the following: * Loom video or screen recording * Live demo * Workflow walkthrough * Screenshots * Automation architecture/workflow view Ideally, the demo should show: * How a lead/enquiry enters the system * Workflow logic and decision-making * AI classification or qualification where applicable * Integrations between tools * Follow-up or booking process * CRM/database updates * Final output delivered to the client or staff member Working demonstrations will be prioritised over applicants who only describe what they can build. PERMISSION TO SHARE PROOF Preference will be given to freelancers who have case studies that they are authorised to share. Where permitted by your previous client, we may want to reference relevant delivery-partner experience when speaking with prospective clients. We will never represent your previous work as our own. Please clearly state: * Which case studies you can share privately with us * Which case studies/results we would be permitted to reference to prospective clients * Whether you have written permission from the relevant client * What information must remain confidential or anonymised Do not provide confidential information or client material that you are not authorised to disclose. PREFERRED BONUS EXPERIENCE Experience with AI voice agents using platforms such as Vapi, ElevenLabs, Retell AI, Bland AI or similar tools is valuable for potential future projects involving: * Inbound enquiry handling * Lead qualification * Follow-up calls * Appointment booking Voice AI is not part of the initial standard implementation scope. WORKING REQUIREMENTS We are looking for someone who: * Communicates clearly in English * Responds reliably * Meets agreed deadlines * Builds maintainable rather than unnecessarily complex workflows * Tests systems thoroughly before handover * Documents workflows properly * Can troubleshoot independently * Is comfortable working on clearly scoped, repeatable client implementations WHEN APPLYING Please answer the following: 1.
