Summary Build a Custom Internal Dispatch Dashboard for a Golf Cart Rental Company About the Project I own a golf cart rental company on Anna Maria Island, Florida. Every morning we dispatch golf carts to vacation rental properties and pick them up from departing customers. Our current dispatch process is manual and takes approximately 30–60 minutes every morning. I'm looking for an experienced full-stack developer to build a custom internal web application that streamlines this process. This is not a customer-facing application. It is an internal dispatch and operations tool used by our dispatch team. Current Workflow Every morning we: Export reservations from Rent Centric into Excel. Clean and organize the spreadsheet. Import the data into a mapping program. Review the map. Manually assign deliveries and pickups to drivers. Build each driver's schedule. Print or communicate the schedules to our drivers. This process is time-consuming and becomes difficult as the number of reservations grows. Goal Reduce dispatch planning from 30–45 minutes to under 10 minutes by creating a visual drag-and-drop dispatch system. The application should combine mapping, scheduling, truck loading, driver assignments, and route planning into one interface. Data Import The application should import an Excel spreadsheet exported from Rent Centric. Each reservation includes: Cart ID Customer Name Address Event Type (Pickup or Delivery) Delivery Window (11:00 AM or 4:00 PM) No API integration is required for Version 1. Interactive Map After importing the Excel file, every reservation should appear on an interactive map. Initial pin colors: 🔴 Pickup 🟢 11:00 AM Delivery 🟡 4:00 PM Delivery Clicking a pin should display: Cart ID Customer Name Address Event Type Delivery Window Dispatch Board The screen should contain two primary sections. Left Side Interactive Map showing all unassigned reservations. Right Side Dispatch Board. Example: UNASSIGNED SPVU80 – Nick Boyle RXNK69 – Brittany 74EYHU – Jennifer SPUZ97 – Ronald -------------------------------- RYAN Route Truck Load -------------------------------- BRIAN Route Truck Load Drag and Drop Assignment The dispatcher should be able to drag either: A reservation card OR The map pin itself directly into a driver's route. Dragging a reservation into a driver's route should: Assign the reservation to that driver. Remove it from the Unassigned list. Remove (or hide) the pin from the map. Update truck capacity. Add the reservation into the driver's stop list. The dispatcher should also be able to: Move reservations between drivers. Move reservations back to Unassigned. Reorder stops. Rearrange stops at any time. Map Behavior The map should only display reservations that have not yet been assigned. As soon as a reservation is assigned: The map pin disappears. The reservation disappears from the Unassigned list. It appears only inside that driver's route. There should also be an optional setting: ☑ Show Unassigned Stops Only ☐ Show Assigned Stops If "Show Assigned Stops" is enabled, assigned pins should reappear using driver-specific colors. Example: 🔵 Ryan 🟣 Brian 🟠 Driver 3 Dynamic Truck Capacity This is one of the most important features. Each truck can carry a maximum of 4 golf carts at one time. The application must calculate truck capacity dynamically throughout the route. Rules: A Pickup adds one cart to the truck. A Delivery removes one cart from the truck. Every delivery creates additional capacity for another pickup. A route may contain many stops as long as the truck never carries more than four carts simultaneously. Example: Truck leaves yard Current Load 2 carts Stop 1 Deliver Cart A Truck Load 1/4 Stop 2 Pickup Cart B Truck Load 2/4 Stop 3 Pickup Cart C Truck Load 3/4 Stop 4 Deliver Cart D Truck Load 2/4 Stop 5 Pickup Cart E Truck Load 3/4 Notice that every delivery creates additional truck capacity. This is critical to our business. The application should automatically calculate truck capacity after every stop. Whenever stops are moved or reordered, capacity should recalculate immediately. Warnings should appear if: Truck capacity exceeds four carts. Capacity becomes negative. A route becomes impossible. Route Optimization Each driver's route should include an Optimize Route button. The optimization should only apply to that driver's assigned stops. The dispatcher must still be able to manually rearrange the stop order afterward. Driver Route Sheets Generate printable route sheets. Each driver's sheet should include: Stop Number Customer Name Cart ID Address Pickup or Delivery Delivery Window Save Dispatch Plan The dispatcher should be able to save the completed dispatch plan and reopen it later. Future Features (Not Required for Version 1) Direct Rent Centric API integration Driver mobile application Live GPS tracking Driver login Mark stops complete Customer notifications Automatic balancing between drivers Historical reporting
