Summary Hi! We're a small internal team, none of us are developers, and we're looking for someone experienced to help us build a first working version of an internal tool. The problem is that our team has a lot of PDFs, guides and random notes scattered all over the place, some of it in shared drives, some of it sitting in old email threads. Every week people come back to the same two of us with questions that are already answered somewhere in those files, they just can't find them fast enough, so we end up digging through documents to pull out one paragraph. We want something where anyone on the team can type a question in normal language and get a correct answer back, with a link to wherever that info actually came from. The other thing we'd like is help with drafting. Replies to clients, internal follow up messages, that kind of thing. Not sending anything on its own, just giving people something to start from instead of a blank page every time. Design isn't a priority, simple login, place to upload documents, chat window and some basic way for us to manage things on the back end is enough for now. What matters most is that the answers are actually accurate and that it doesn't make things up when it isn't sure. We'll be uploading a lot of documents over time and if people stop trusting it after the first wrong answer then the whole thing is pointless. That's where we'd want most of the budget going. We're not techy people, so it would help a lot if you could walk us through what you'd recommend and why in plain terms, and help us work out what to cut for a first simple version and what can wait.
