Summary Autotask & Kaseya Stack Expert for MSP Setup, Billing Integration & Process Consulting Project Type: Initial project with the potential for ongoing, long-term work Project Overview: We are a Managed Service Provider looking to mature our financial and operational processes. We use Autotask PSA, Datto RMM, QuickBooks Online (QBO), ConnectBooster, and Kaseya Quote Manager. Datto RMM and Autotask are already integrated and functioning. Our goal is to establish a seamless, highly efficient workflow from quoting to billing. However, our current accounting codes and product mappings are messy. We need an expert not just to connect the software, but to act as a consultant—cleaning up our financial mappings, suggesting standard operating procedures (SOPs), and implementing industry best practices to make our business more organized, professional, and profitable. Please note: While this initial overhaul is a distinct project, we are looking to build a long-term relationship. If this project is successful, we want to keep you on as our go-to fractional expert for future tune-ups, workflow adjustments, and process improvements as our business grows. Key Responsibilities: Accounting Cleanup & GL Mapping: Review, untangle, and rebuild our product/service catalogs and accounting codes. Ensure accurate GL mapping between Autotask and QuickBooks Online for proper financial reporting, tax calculation, and margin tracking. Process Consulting: Analyze our current workflows and suggest standardized, professional procedures for quoting, procurement, contract management, and billing. System Integration: Fully integrate Autotask PSA, QuickBooks Online, ConnectBooster, and Kaseya Quote Manager to eliminate manual data entry. Workflow Optimization: Configure Kaseya Quote Manager so that approved quotes seamlessly sync into Autotask as Opportunities/Tickets with the correct codes. Billing & Payments Setup: Set up Autotask and QBO to handle automated invoicing, and configure ConnectBooster as the payment gateway. Ensure closed-loop reconciliation. Ongoing Support (Post-Project): Be available for future ad-hoc requests, minor tweaks, and strategic advice as we scale. Documentation & Handoff: Provide walk-throughs and basic documentation on how to operate within the newly established best practices. Required Skills & Experience: Extensive experience consulting for MSPs on business processes and financial workflows. Deep technical knowledge of the Kaseya IT Complete stack (Autotask PSA and Kaseya Quote Manager) as well as ConnectBooster and QuickBooks Online. Strong understanding of MSP financial metrics (Chart of Accounts, Cost of Goods Sold, labor margins, MRR) and how to map them correctly across platforms. Ability to act as an advisor—we want someone who will tell us the "right" way to do things based on industry standards, rather than just building what we ask for.
