Summary We are a vacation rental management company seeking an experienced AI automation and API integration developer to build a reliable, end-to-end workflow that converts conversation transcripts into assigned work orders inside our reservation management system. The intended workflow is: A call or conversation transcript is automatically received from a commonly used transcription platform through an API, webhook, email trigger, or similar method. ChatGPT/OpenAI, Claude, or another appropriate AI model analyzes the transcript. The AI creates a concise summary and extracts structured information, including: Property and reservation Guest, homeowner, or vendor involved Request, problem, or action needed Department responsible Urgency and priority Recommended assignee Relevant dates, promises, and follow-up requirements The workflow connects to our reservation management system through its documented API that you will need to use It locates the correct property or reservation, creates the work order, adds the summarized notes, and assigns it to the appropriate employee or department. Any transcript that is unclear or cannot be matched confidently should be flagged for human review. The selected developer will be responsible for designing, building, testing, and documenting the complete workflow. The solution may use n8n, Make, Zapier, custom Python or Node.js development, or a combination of tools. We are open to the best technical approach, but the final system must be reliable, secure, scalable, and maintainable. Required experience: OpenAI, Claude, or comparable LLM API integration Structured outputs, tool/function calling, and prompt development REST APIs, webhooks, JSON, OAuth, and authentication Workflow automation platforms such as n8n, Make, or Zapier Error handling, duplicate prevention, retries, logging, and alerts Experience integrating transcript, CRM, reservation, property-management, or task-management systems Ability to create intelligent routing and assignment rules We strongly prefer someone located within four hours of the U.S. Eastern Time Zone.
