Summary We are looking for an experienced Virtual Assistant or AI Automation Specialist who has hands-on experience with GoHighLevel (GHL), AI integrations, and workflow automation. Our goal is to build an intelligent system that automatically processes leads coming into Gmail, organizes them inside GoHighLevel, and uses AI to extract valuable information and recommend next actions. Responsibilities • Set up and optimize AI workflows within GoHighLevel. • Integrate Gmail with GoHighLevel to automatically capture incoming leads. • Build automations that: • Identify lead emails. • Extract important information (name, contact details, property information, motivation, timeline, notes, etc.). • Create or update contacts and opportunities in GoHighLevel. • Organize leads into the correct pipelines, tags, and custom fields. • Use AI to summarize lead information and generate recommended follow-up actions. • Import and organize historical leads from Gmail into our CRM. • Help brainstorm and implement new AI-driven workflows to improve lead management. • Test, troubleshoot, and continuously improve automation performance. Requirements • Proven experience with GoHighLevel automation. • Experience integrating AI tools such as OpenAI/ChatGPT, Claude, or similar LLMs into business workflows. • Strong knowledge of Gmail integrations and email parsing. • Experience with automation platforms such as Make.com, Zapier, n8n, or similar. • Understanding of CRM best practices and lead management. • Strong problem-solving skills and the ability to recommend creative automation solutions. • Excellent communication skills. Nice to Have • Experience with prompt engineering. • Knowledge of APIs and webhooks. • Experience in real estate CRM systems or lead management. • Familiarity with OCR, document parsing, and structured data extraction. Project Goal We receive a high volume of leads through Gmail. We want to build an AI-powered system that: • Automatically detects lead emails. • Extracts as much useful information as possible from each email. • Creates or updates the corresponding record in GoHighLevel. • Organizes leads into the appropriate pipeline and fields. • Reviews historical emails to ensure no leads have been missed. • Suggests intelligent next actions or follow-up tasks based on the content of each lead. We're looking for someone who has done similar projects before and can not only implement the technical solution but also collaborate with us to design the best workflow.
