Summary We are scaling an automation agency that builds high-impact AI infrastructure specifically for dental practices. Dental clinics suffer from massive, expensive operational bottlenecks—bleeding £3,000 to £6,000 a month in missed phone calls, losing £2,000 to £4,000 a month to avoidable no-shows, and struggling with empty hygiene chairs and weak online reputations. We are looking for an expert Voice AI and Workflow Automation Developer to build robust, plug-and-play systems that solve these exact pain points for our clients. What You Will Build: Missed-Call Instant Text-Back & Voice Agents: • Integrate Voice AI platforms (such as Vapi.ai or Retell AI) with telephony systems. • Build automated workflows in Make.com that trigger an instant SMS via Twilio (or equivalent) the second a clinic misses a call, capturing the patient before they dial a competitor. Automated Calendar & Reminder Flows: • Set up bidirectional calendar syncs to eliminate scheduling conflicts. • Implement automated SMS/email confirmation and reminder sequences 24 hours and 2 hours out to drastically slash no-shows. Reactivation & Review Pipelines: • Build automated review-generation triggers post-appointment and patient-recall sequences to fill empty hygiene slots. Required Skills & Tech Stack: • Voice AI: Deep experience with Vapi.ai, Retell AI, or conversational voice agents. • Automation: Advanced workflow building in Make.com (or Zapier). • API & Webhooks: Proven ability to handle REST APIs, webhooks, and SMS gateway integrations (Twilio, Vonage, etc.). • Calendar Integration: Experience syncing with dental/medical booking software or standard calendars (Google Calendar, Calendly, etc.) cleanly without double-booking. Project Scope & Deliverables: • You will be building modular, reusable templates/systems that we can rapidly deploy across multiple dental practice clients. • Clean documentation, reliable error-handling, and robust testing are mandatory—these systems manage live patient flows and cannot break.
