Summary AI Automation & Workflow Consultant – Canadian Real Estate Team We're a growing residential and commercial real estate team in Ontario, Canada, looking for an experienced automation consultant to help streamline our back-office operations. We already have established systems in place and are looking to automate repetitive administrative tasks while keeping a human approval step for anything client-facing. Current Systems Lone Wolf WebForms DocuSign BoldTrail CRM Google Workspace (Gmail, Calendar, Drive) Duda Website Zapier (open to n8n or other workflow platforms) OpenAI Initial Goals We're looking to automate workflows including: Documents & DocuSign Prepare Listing Agreements from website intake forms Prepare Buyer Representation Agreements Automatically populate DocuSign envelopes Apply templates and recipients FINTRAC document workflow Internal paperwork automation Website & CRM Use website listing forms to populate agreements Push submissions into BoldTrail Create/update contacts automatically Create transaction records Sync client information across systems Email Automation Live listing emails Listing launch emails Follow-up emails Reminder emails Closing reminders Anniversary emails Automated client communication sequences Calendar & Tasks Add important transaction dates to Google Calendar Create reminders for conditions, deposits and closings Automatically assign internal tasks Create transaction checklists AI Workflows Draft listing descriptions Draft client emails Draft social media captions Draft internal notes Assist with repetitive administrative work Ideal Candidate We're looking for someone with experience building automation systems using technologies such as: n8n OpenAI API DocuSign API REST APIs Webhooks Zapier or Make Google Workspace integrations CRM integrations Experience working with real estate businesses is a significant asset. Project Scope This will begin with a paid discovery phase to map our current processes and design an automation roadmap. From there, we'll implement workflows one at a time. We're looking for a long-term relationship with someone who can continue improving and expanding our systems over time. Please include examples of similar automation projects you've built, particularly involving DocuSign, CRMs, AI, or workflow automation.
