Description

Summary I run Rupertsonic Limited, an agency providing AI receptionist, automation and growth systems for UK service businesses. We are looking for an experienced Voice AI Automation Specialist with strong past experience and relevant case studies. This is not a general virtual-assistant role. We are looking for a technical fulfilment partner who can eventually handle approximately 80% of the delivery for client projects from planning through testing and handover. We are currently sourcing and pre-vetting suitable specialists for upcoming paid client implementations. No unpaid build or free custom demo is required during the application stage. WHAT A TYPICAL CLIENT PROJECT INVOLVES A typical project will involve building a customised AI receptionist and job-booking system for a UK plumbing, heating, boiler or similar service business. The system may need to: - Answer inbound calls in a natural professional voice - Use a client-specific greeting and call flow - Identify new and existing customers - Collect caller name, telephone number and job details - Understand the service required - Collect and check the caller’s postcode - Distinguish urgent and non-urgent enquiries - Follow client-approved escalation rules - Book an appointment or create a callback request - Integrate with Google Calendar - Transfer selected callers to a human - Handle failed transfers - Send SMS confirmations - Send structured call summaries - Update a CRM or lead pipeline - Handle after-hours calls - Handle unavailable booking slots PREFERRED TECHNOLOGY Our preferred technology stack includes: - Retell AI - Make.com - Twilio or another suitable telephony provider - Google Calendar - CRM or lead-pipeline systems - APIs and webhooks We are open to alternative tools where you can explain why your recommended architecture is more reliable, reusable or cost-effective. WHAT WE EXPECT FROM A FULFILMENT PARTNER You should be able to handle most of the delivery process, including: - Technical planning - Conversation and call-flow design - Voice AI configuration - Telephony setup - Calendar and CRM integrations - Make.com workflows - SMS and email notifications - Human-transfer logic - Testing and debugging - Client-specific configuration - Loom walkthroughs - Documentation - Final handover You should be able to communicate clearly, identify risks early and recommend solutions without needing instructions for every small task. PROOF OF EXPERIENCE REQUIRED Please include 2–3 relevant examples of previous work. For each example, explain: 1. What you built 2. Which tools you used 3. Which parts you personally completed 4. Whether the system is live 5. What measurable business outcome it achieved Please anchor your results to at least one of the following: - Time saved - Cost saved - Revenue or appointments generated Examples could include: - Hours of staff time saved each week - Reduction in manual administration - Number of calls successfully handled - Appointments booked - Reduction in missed enquiries - Operational costs reduced Live demo numbers, call recordings, Loom walkthroughs, screenshots and client case studies are strongly preferred. Do not submit a generic portfolio without explaining its relevance. CURRENT HIRING PROCESS At this stage, we are: - Reviewing relevant past work - Evaluating technical ability - Comparing hourly rates and fixed-price estimates - Assessing communication and reliability - Confirming availability for future projects - Selecting one primary and one backup fulfilment partner Once a suitable client project is confirmed, the selected freelancer will receive a funded Upwork contract before any project work begins. There is no unpaid development requirement. FUTURE WORK The right freelancer may receive repeated project-based work as Rupertsonic signs new clients. We are not offering a full-time employment role or long-term monthly retainer at this stage. We will begin with individual client projects and expand the relationship based on: - Quality of delivery - Communication - Reliability - Testing standards - Documentation - Measurable client outcomes HOW TO APPLY Start your proposal with: VOICE AI FULFILMENT PARTNER Then answer the following questions: 1. What is the most relevant Voice AI receptionist or inbound-call system you have built? 2. Can you provide a live demo, call recording or Loom walkthrough? 3. Which tools did you use and which parts did you personally build? 4. What measurable result did the project achieve in time saved, cost saved or revenue generated? 5. Which technology stack would you recommend for our use case and why? 6. How would you safely handle urgent plumbing, heating or gas-related enquiries? 7. How would you make the system reusable across future clients? 8. How would you test it before production launch? 9. What information and access would you require from Rupertsonic and the client? 10. What is your hourly rate? 11. What would your typical fixed-price estimate be for one complete client implementation? 12. How long would a standard implementation take? 13. How much notice would you normally require before starting? 14. Are you comfortable working through fixed-price milestones for confirmed client projects? Generic applications that do not answer these questions will not be shortlisted.
