Description
Summary We are building a clean, self-hosted job-costing ERP system for our growing painting company (Funky Painting). The goal is to create a reliable, near real-time integration layer that connects PaintScout, Monday.com, QuickBooks Online, and Gusto into one central source of truth for job profitability. What we’ve already built: • n8n instance running on Railway • Webhook trigger from PaintScout (when an estimate is accepted) • New clean Airtable base (“Funky ERP”) with a Jobs table • Core workflow structure started (“New Job – PO# Propagation”) What we need help with: We want to properly build and complete the integration architecture, including: • Finalizing the Jobs table structure in Airtable with proper fields and relationships • Completing the main n8n workflow that creates jobs in Airtable when an estimate is accepted in PaintScout • Building additional workflows to sync data from Monday.com, QuickBooks (bills & projects), and Gusto (labor) • Setting up proper error handling and an exceptions queue (“Needs PO#”) • Creating a clean, maintainable system we can own long-term Key Requirements: • Strong experience with n8n (self-hosted) — this is important. Zapier-only experience is not enough. • Solid experience with Airtable (linked records, proper data modeling, interfaces/views) • Experience integrating with QuickBooks Online, Monday.com, and webhooks • Ability to think in systems and build clean, reliable automations (not just quick fixes) • Bonus: Experience with job costing, construction, or service-based businesses Project Style: We prefer clean architecture over speed. The system must be reliable and easy for us to maintain and expand as we scale. We are open to both hourly and fixed-price proposals. To Apply, Please: 1. Share 1–2 examples of n8n + Airtable projects you’ve built (screenshots or Loom video preferred) 2. Confirm you have experience with self-hosted n8n (not just Zapier) 3. Tell us your availability for the next 2–3 weeks We’re looking for someone who can work with us iteratively and help us build something we can truly own.
