Unlike a basic build, we're looking for a developer who can deliver the complete solution end-to-end, from the simplest call-handling to the full premium feature set — not just a starting version. Core call handling Answers incoming calls when clinic staff can't pick up Handles common questions: opening hours, pricing, address Logs appointment requests (name, pet, reason, phone number) Sends reminders ahead of confirmed appointments (SMS and/or call) to cut down no-shows Calendar-aware booking Read access to the clinic's calendar so the agent can offer real open slots during the call Two-way reminders where the client can confirm or cancel directly by SMS/call Full automation (premium) Fully automated booking — the agent reads and writes directly to the calendar, confirming appointments without human involvement Multi-language support (French, German, English) Monthly performance reporting (calls handled, appointments saved, answer rate, missed-call recovery) Emergency keyword detection with instant handoff to a human line Auto-waitlist — when a slot opens from a cancellation, it's automatically offered to someone waiting Custom voice/tone personalization per clinic (accent, formality, assistant name) What we need from you: Ability to build and deliver the entire system, not just a partial version — from basic call handling through full calendar automation and premium features Use proven, reliable tools (Vapi, Retell AI, Bland AI, Twilio, n8n/Make) rather than building AI from scratch A system architecture that's clean and modular enough to replicate for multiple clinics with minor adjustments (name, hours, tone, phone number, language) Comfort working with calendar APIs (Google Calendar, Outlook, or clinic-specific booking systems) for the read/write automation piece Ideal profile: Demonstrable experience building complete, production-grade voice AI systems (not just prototypes) — portfolio required Strong command of Vapi, Retell AI, Bland AI, Twilio, or equivalent Solid experience with n8n, Make, or Zapier for complex multi-step automations Experience integrating calendar/booking systems via API Comfortable handling multilingual voice flows Clear communicator, reliable with deadlines, able to work independently on a full build In your proposal, please tell us: Which tools and architecture you'd use for the full system, and why Your price for delivering the complete solution (all tiers) Whether you'd rather phase delivery (basic first, then advanced) or build it all at once — and your reasoning Any recurring monthly costs (hosting, maintenance, third-party subscriptions, per-minute call costs) A realistic timeline for full delivery How easily you could replicate this for other clients, and at what added cost/time Examples of similar full-scope projects you've completed, ideally with calendar automation and multilingual support
