Summary We build automation systems for veterinary clinics, a sector currently overwhelmed by phone volume and short-staffed teams. We need a developer to build an AI phone agent designed with room to grow — but for this first rollout, we only need the entry-level version built. Tier 1 — Core build (start here) • Answers incoming calls when clinic staff can’t pick up • Handles common questions: opening hours, pricing, address • Logs appointment requests (name, pet, reason, phone number) — no calendar lookup involved • Forwards each request to staff (via SMS, email, or a simple shared sheet) so a human confirms the booking • Sends reminders ahead of confirmed appointments (SMS and/or call) to cut down no-shows Note: at this stage, the agent never touches the clinic’s existing software. It only gathers and forwards info — staff keep using their current system as-is. Tier 2 — Next phase (plan for it, don’t build yet) • Read-only calendar access so the agent can offer real open slots during the call • Two-way reminders where the client can confirm or cancel directly Tier 3 — Future phase (plan for it, don’t build yet) • Fully automated booking (read + write calendar access) • Multi-language support (French, German, English) • Monthly performance reports (calls handled, appointments saved, answer rate) • Emergency keyword detection with instant handoff to a human • Auto-waitlist when a slot opens up from a cancellation • Custom voice/tone options What we need from you: • Ship Tier 1 first — reliable and production-ready • Design the underlying architecture so Tiers 2 and 3 can be added later without a rebuild • Use proven existing tools (Vapi, Retell AI, Bland AI, Twilio, n8n/Make) rather than building AI from scratch • Make the setup easy to replicate for other clinics with only small tweaks (name, hours, tone, phone number) Ideal profile: • Proven track record with voice AI agents or chatbots (portfolio welcome) • Comfortable with Vapi, Retell AI, Bland AI, Twilio, or similar • Familiar with n8n, Make, or Zapier • Clear communicator, reliable with deadlines In your proposal, please tell us: 1.
