Summary We are a small pool company in Australia looking for a simple, reliable stock and inventory management system to manage products such as pool houses, heaters, robot cleaners, pumps, filters, chlorinators and spare parts. Our priority is a solution that is easy to use, scalable, and designed for future growth rather than unnecessary complexity. The system should allow us to: Add, remove and adjust stock levels View current stock on hand Set minimum stock levels with low stock alerts Record stock received and stock sold Generate simple purchase orders or reorder lists View a clean dashboard showing current stock status Search products quickly Store supplier information Be simple enough for office staff to use every day We are open to two different approaches and would like a fixed-price quote for your recommended option. Option 1 – Advanced Spreadsheet Solution Excel or Google Sheets Professional front-end/dashboard Staff should rarely need to access the raw data tables Forms/buttons where appropriate Designed using a proper relational structure so it can be transitioned into a web application in the future Option 2 – Web-Based Application Responsive web interface accessible from desktop, tablet and mobile Modern, clean dashboard Cloud-based Simple and intuitive to use Built with future expansion in mind Future Scalability We do not require Xero integration at this stage, however the solution should be designed so future integration (or reliable data exchange) is possible without rebuilding the system. At a minimum, the data should be structured to allow easy CSV import/export and future API integration. This may become the first module of a larger internal business system, so we are looking for a scalable foundation rather than a one-off solution.
