Description

Summary AMRL Productions is a UK short-form video agency preparing to launch. We are looking for an experienced Make.com automation specialist to build a reliable client onboarding and project administration system using Stripe, Google Drive, Google Docs and Google Sheets. The purpose of this project is to remove repetitive administrative work, prevent lost information and keep every client, payment and production project properly organised from day one. Required workflow When a successful Stripe payment is received — or through a temporary manual/test trigger while Stripe is being finalised — the Make.com scenario should: 1. Register the new client and project. 2. Create a correctly named client/project folder structure in Google Drive. 3. Copy a Google Docs project brief template. 4. Populate the brief with the available client, project and payment details. 5. Create or update the relevant row in Google Sheets. 6. Store: * Client name * Company name * Email address * Project type * Payment amount * Payment date * Stripe payment ID * Receipt or invoice link * Project deadline * Assigned editor * Project status 7. Keep financial records organised for our accountant. 8. Notify the Founder and assigned editor by email. 9. Include links to the Drive folder and project brief in the notification. 10. Prevent duplicate folders, documents and spreadsheet rows. 11. Log failed automation runs. 12. Provide a safe manual retry process. Google Drive requirements The system should create a clean and consistent structure, for example: * Client folder * Project folder * Original footage * Brand assets * Project brief * Drafts * Revisions * Final delivery * Finance / receipts The final naming system will be agreed during the architecture milestone. Important operating rules * Make.com should move, create and store information. * Make.com should not make pricing, refund, accounting, creative or quality-control decisions. * No client-facing delivery should happen automatically without human approval. * The Founder remains the final PASS / FIX / FAIL authority. * The system must be modular and easy to expand later. * The project must be built and tested with sample data before using live client information. * The automation must not interfere with or delay our agency launch. Required deliverables * Technical workflow map before building. * Fully functioning Make.com scenario. * Google Drive folder automation. * Google Docs template automation. * Google Sheets / CRM updates. * Stripe payment trigger or safe temporary test trigger. * Duplicate protection. * Error handling and logging. * Manual retry process. * End-to-end testing with sample data. * Clear naming conventions. * Short Loom walkthrough. * Written handover documentation. * A short post-delivery support period for minor fixes. Not included in this version * Automated outreach. * AI video editing. * Automated creative decisions. * Automated quality approval. * Automated refunds. * Automated client delivery without human approval. * A complete custom CRM rebuild. These may become separate future projects after AMRL has real client data. Ideal candidate You should have proven experience with: * Make.com * Stripe integrations * Google Drive * Google Docs * Google Sheets * Webhooks and APIs * Duplicate prevention * Error handling * Secure permission management Please include in your proposal: 1. One similar Make.com system you personally built. 2. How you would prevent the same Stripe payment from creating duplicate records. 3. How you would log and safely retry failed runs. 4. What access and permissions you would require. 5. How you would test the system before connecting live Stripe data. 6. Your estimated delivery time. 7. Your fixed-price proposal. 8. Your recommended milestone structure. Budget Up to £630 fixed price, depending on experience, proposed architecture and deliverables. We expect the project to be divided into three milestones: * Architecture and technical plan * Build and sample-data testing * Final connection, documentation, Loom walkthrough and handover This is Version 1 of a system that may expand as the agency grows. We are looking for someone who can build a clean, reliable foundation without over-engineering it.
