Summary We are seeking an experienced full-stack developer or small development team to build a custom Vedic assessment and recommendation platform for a coaching and retreat-based business. This platform will include: Secure user accounts Birth data collection Ephemeris-based chart calculations Multi-step Vedic assessments Logic-based recommendations Admin and practitioner dashboards The system will initially operate as a standalone application, with a planned future integration into HubSpot. This is a fixed-timeline project with a required April 2026 launch date. Core Functional Requirements 1. Vedic Login & Birth Data System Secure user registration and authentication Collection of birth details: Date of birth Exact time of birth Location of birth Time zone normalization and geographic handling Storage of user birth data in a secure database 2. Ephemeris & Chart Calculation Engine The platform must support Vedic astrology-based calculations, including: Integration with a Vedic astrology ephemeris Planetary position calculations based on birth data Generation and storage of natal chart data Ability to reuse stored chart results for assessments and recommendations Developer responsibilities: Recommend and implement the ephemeris solution: Existing library API-based solution Or custom integration Ensure calculation accuracy and performance Handle time zone, daylight savings, and location complexities 3. Multi-Step Vedic Assessment Engine Dynamic, multi-step questionnaire Conditional logic based on previous answers Weighted scoring system Combination of: Assessment answers Ephemeris/chart data Generation of personalized energetic or program recommendations 4. Recommendation & Program Logic Logic-based assignment of: Energetic or personality profiles Recommended programs or sessions Next-step guidance Admin-adjustable scoring and recommendation rules 5. User Dashboard Users must be able to: Log in securely View assessment results View chart-based insights or outputs Access recommended programs or next steps Return to update or complete assessments if needed 6. Admin & Practitioner Interface Internal interface with role-based permissions: Admin capabilities: View and manage assessment submissions Review chart data Override or adjust recommendations Export user data Adjust scoring rules or logic Practitioner capabilities: View assigned users Review assessment and chart summaries 7. Email & Automation Logic System should support: Automated emails triggered by: Assessment completion Chart results Recommendation outcomes Structured architecture to support future CRM or email platform integration Phase 2 (Future): HubSpot Integration The system must be architected so it can later: Sync contacts into HubSpot Pass assessment and chart data Trigger HubSpot workflows Support API-based data exchange Technical Responsibilities Developer will: Recommend full technical stack Design database structure and system architecture Build all front-end and back-end functionality Integrate ephemeris or astrology calculation engine Implement security best practices Set up hosting and deployment Provide technical documentation Hosting, Maintenance & Support Expectations Hosting Developer must: Recommend an appropriate hosting environment Set up production (and staging if needed) Configure: SSL Backups Basic monitoring Provide estimated monthly hosting costs Support During Launch Developer must be available for: Launch support Bug fixes during the first 30 days post-launch Include post-launch support terms in the proposal Timeline Project Start: Immediately upon developer selection Hard Launch Deadline: April 2026 Required Experience 5+ years full-stack development Proven experience building: Complex form or assessment systems Logic-based scoring or recommendation engines Secure user authentication systems Experience integrating third-party APIs or calculation engines Direct experience working with ephemeris, astrology, or astronomical calculation systems Natal chart calculations Planetary position logic Time zone and location-based calculations Ability to work with specialized domain logic (e.g., Vedic or astrology-based systems) Ability to translate non-technical or spiritual/assessment concepts into technical logic Nice to Have Prior work on Vedic astrology platforms HubSpot API or CRM integration experience Experience building SaaS-style applications Experience in coaching, wellness, or assessment-based platforms Deliverables Fully functional production-ready web application Admin and practitioner dashboards Source code and deployment instructions Technical documentation for handoff Budget & Proposal Requirements Please include: Estimated total project cost (fixed bid or milestone-based) Project timeline Recommended tech stack Ephemeris approach (library, API, or custom) Monthly hosting estimate Ongoing maintenance or support costs
