Summary We're building a custom student-facing portal for a music business coaching and artist development program (example attached). We have a fully designed, interactive HTML prototype ready to hand off — the developer's job is to turn that into a real, production-ready web application. This is not a "set up Kajabi" or "customize a theme" job. We want a clean, custom-built portal that we own outright, with real user authentication, persistent progress tracking, sequential module unlocking, and deep integration with our existing CRM, HighLevel. Our program currently runs inside HighLevel. This portal needs to sit on top of — and stay in sync with — HL. Students who sign up through HighLevel should get automatic access to the portal, and completion data from the portal should feed back into HL to trigger automations. Budget is flexible for the right developer. We want someone who has done this before and can move fast. What We're Building A web application with two sides: Student portal (frontend) Personalized dashboard with progress tracking, weekly focus tasks, and login streaks Curriculum viewer organized into sections and modules with sequential unlocking — modules lock until prior ones are completed Progress saves persistently per student and syncs with HighLevel Live session schedule page with links to join or view upcoming sessions Past session recordings page (video hosted on Vimeo or Mux) Track submission form — students paste a link (SoundCloud, Google Drive, etc.) and leave notes for their coach In-portal messaging / contact channel Profile page Categorized resource library (PDFs, links, Google Docs) Admin dashboard (backend) View all students and their progress (% complete, last login, modules finished) Manually mark modules complete or flag students Post coach announcements visible on the student homepage Manage session schedule (add/edit upcoming sessions) View and respond to student track submissions and messages HighLevel Integration (Critical) This is the most important technical requirement. The portal must integrate with HighLevel in the following ways: Auto-provisioning: When a student completes checkout in HighLevel, their portal account is automatically created and they receive login credentials — no manual steps on our end Progress sync: When a student completes a module in the portal, that data writes back to HighLevel (via webhook or API) so we can trigger automations from it Automation triggers: When a student has not completed a module by a set date, the portal fires a webhook to HighLevel to kick off a re-engagement sequence SSO or frictionless login: Ideally students should not need to manage two separate logins — propose your approach Technical Requirements Tech stack: We're open — propose what you recommend and justify it Video hosting: Integration with Vimeo or Mux for lesson playback (we will provide videos) Track submission: Students paste a link (SoundCloud, Google Drive, Dropbox, etc.) with a notes field — no file uploads required HighLevel integration: Webhooks and/or HighLevel API (see above) Custom domain: Must support deployment to a custom domain Responsive: Must work on desktop and mobile What We're Providing A fully built, pixel-accurate HTML/CSS/JS prototype of the entire portal — every page, every navigation state, every UI element — this is your complete visual and UX spec Content structure and module outlines Brand colors, fonts, and design direction Access to our HighLevel account for integration setup Vimeo or Mux account (TBD — open to recommendation) What We Are NOT Looking For WordPress, Kajabi, Teachable, or any off-the-shelf course platform Template-based development — this is a custom build Developers who need to design anything from scratch — design is fully done Ongoing retainer at this stage — this is a project-based engagement Deliverables Fully functional student portal deployed to staging URL Admin dashboard with student progress view and content management HighLevel integration — auto-provisioning, progress sync, and webhook triggers (tested and documented) Vimeo or Mux video playback integrated into module pages Track submission flow (link + notes) Basic documentation: how to add modules, upload videos, manage students Clean handoff — code in a GitHub repo we own Budget Include your estimated range in your proposal. We're looking for fixed-price bids, not hourly. Milestone-based payment structure is fine.
